User Manual

General Information

Blue Delivery App is an app for Microsoft Dynamics 365 Business Central. Blue Delivery expands the functionality of our Blue Goods app. With Blue Delivery you can register a structure of your goods “what is packed in what”. You can exchange this shipping information with your forwarders/carriers.

How to install the app

On cloud

If you are currently using Microsoft Dynamics 365 Business Central on cloud you can find and install Blue Delivery from App Source Marketplace.

In Business Central search tool, type “Extension Marketplace”. This will open the marketplace from Microsoft App Source. You can find Blue Delivery app there and install it to your Business Central tenant. Please contact us through the Buy a License request form and we will provide you a license key.

On-Premise

If you are using Microsoft Dynamics 365 Business Central on-premises, then you will receive an App file. This file must be published by your Microsoft Dynamics 365 partner into your Dynamics 365 Business Central server instance.

Blue Software team is available to assist you in case you need help during the installation of this app.

Permissions

If you are using an account without SUPER permission set, you need to add the Blue Delivery permission set to your account. This can be done from the user list. Make sure all users who are going to use the app has the right permission set.

Assisted Setup – Set up Delivery

After the app is installed, you can start to set up necessary information as described.

Search for Assisted Setup and start it for Blue Delivery:

If you didn’t setup Blue Goods App yet, you should run the Assisted Setup for Blue Goods first. You can find more information about Blue Goods App here: https://www.bluesoftware.no/produkter/dynamics-365-business-central-apps/en-us/blue-goods/user-manual/index/.

Step 2: Provide all necessary number series, as for inbound and outbound deliveries, pre-carriage deliveries and transport units. A delivery is a document which contains shipping information for exchange with your forwarders/carriers:

Step 3: In step 3 you decide when a delivery document is created automatically during the sales, purchase and transfer process. For sales and purchase you have to options:

  • By Post Invoice – a delivery document is created when you post an invoice
  • By Post Ship – a delivery document is created when you post a shipment/receipt

What you use depends on how you handle the shipment of your goods. If you need to give all shipment information to your forwarders/carriers before you invoice/receive your document, use By Post Ship:

How to use

Register Goods

In the next chapters we will show you an example how you can register goods information for a sales order using a location (TROMSØY) which requires warehouse pick:

In general, you can register/correct the Goods Units, you use to ship your items with, on the following documents:

  • Sales Quotes
  • Sales Orders
  • Sales Invoices
  • Transfer Orders
  • Warehouse Picks
  • Warehouse Shipments
  • Deliveries

You do this by using Actions -> Delivery Management -> Goods Registration if you don’t use Warehouse.

In our example the warehouse employees at the warehouse are doing the packing job. After releasing the order, you create a warehouse shipment and pick:

From Lines you choose Delivery Management -> Goods Registration to define the goods information. Your warehouse employees will do this after the items are picked, packed, and weighed.

The warehouse employees packed each type of furniture (PARIS guest chair, LONDON swivel chair and ATHENS pedestal) on an own box. These boxes are packed into a bigger box.  In the first step, we are going to define all boxes which are used to pack the items:

You can select the standard Goods Units you set up. The parameters you set up on your standard Goods Units will be inherited. Additionally, you can specify Goods Content, Goods Marked etc.

The second step will be to put the items in the right boxes, mark the right box and press Append Items. The fact box Items to append will tell you which and how many items are not appended yet:

In this example we append only 3 of 4 guest chairs in our box. If necessary, fill inn Qty. to Append and press the button Append:

We do the same job with the other boxes/items. Alternatively, you can use Goods Structure to append items and units. You can also remove items/units from a goods unit by using Undo Append.

In our example we have packed:

  • 1 pcs LONDON swivel chair in one box
  • 2 pcs ATHENS pedestal in one box
  • 3 pcs PARIS guest chair in one box
  • All these boxes have been packed in a larger main box, together with 1 pcs PARIS guest chair. The main box is marked with “Autohaus Mielberg”.

If you defined net weight and gross weight for your items, the weight gets automatically calculated and summarized. You may have to register Tara and adjust your Gross Weight. Be aware you can register Tara for your standard goods units.

If you don’t register weight on your items your warehouse employees can register the measured weight in the Goods overview. The most important weight information is Freight Calculation Weight which is transferred to your forwarders/carriers.

After all packing information are registered your warehouse employees will register the warehouse pick and post your warehouse shipment. The registered goods information is available on warehouse shipment and sales order and is shown in the Goods Structure fact box:

About Delivery document

The delivery is a document which contains all necessary information you need to ship your goods. These data can be collected from your sales order, shipments and goods information.

In our setup we decided to create a delivery document automatically when posting a shipment. This information has been transferred to the sales order when we created the order. After we posted the warehouse shipment such a delivery document was created. You will find the delivery information in Shipping and Billing on the sales order:

You did now register all necessary shipping information and are ready to exchange this data with your forwarders/carriers.

Search after Deliveries to look at all documents.

If you need to correct any information before you send this information to your forwarder/carrier you must do it here. You are also able to create a pre-carriage from a Delivery if needed.

How to request a new license

You can request a new license from the Blue Base Setup using Buy a license before your free trial license expires.

This will open a request form you have to fill inn and send to us.

You will receive a valid license key within 3 workdays.

Important: You need an own license key for each company that will use this app.

How to register your new license

Search after Blue Base Setup.
Place the new license key in the license key field for the specific app.

Check your licensee

Search after Blue Base Setup to check if you have a valid license under Actions -> Check License:

Upgrade

A list of changes will be published on this website. If you have an installation “On-premises” your Microsoft Dynamics 365 Partner must unpublish the current version and publish the new version for you. The customers using the cloud version will be upgraded automatically when a new version is released.

Uninstall

It is possible to uninstall and unpublish the app at any moment. You can perform these actions from the Extension Management page.

If you decide to install the app again later, all settings and configurations will be restored as they were previously. If you decide to remove the extension data under uninstallation, all data related to this app will be removed and it cannot be recovered later.
